Sahar Dental Studio (“we”, “us”) operates the patient portal at sahar.dental. This notice explains how we collect and use information in connection with the portal. It does not cover information collected offline or through paper forms.

2. Information we collect

• Name and email address (account registration)
• Mobile phone number (optional; used only for appointment reminders)
• Appointment details: service type, date, time, provider
• Login session data (encrypted cookies, standard browser metadata)

3. SMS appointment reminders

If you provide a mobile number and opt in on your Profile page, we will send you automated appointment reminder text messages via Twilio. By opting in you consent to receive these messages. Message and data rates may apply.

To stop receiving messages, reply STOP to any reminder text or uncheck the reminder toggle on your profile. Reply HELP for assistance.

4. How we use your information

• To schedule, confirm, and remind you of appointments
• To allow staff to manage the practice schedule
• To maintain an audit log of appointment changes

We do not sell your information to third parties.

5. Data retention

Appointment records are retained for as long as necessary for clinical and legal obligations, typically seven years. You may request deletion of your account by contacting us.

6. Third-party services

• Neon (Postgres) — database hosting with encryption at rest
• Twilio— SMS delivery; subject to Twilio’s Privacy Policy and HIPAA BAA if applicable
• Vercel / Coolify — application hosting with TLS in transit

7. Security

We use TLS for all data in transit, encrypted database storage, and role-based access controls. Passwords are hashed; we never store them in plain text. We do not log message bodies containing protected health information.

8. Your rights

You may access, correct, or request deletion of your personal information by contacting us at the address below. California residents may have additional rights under CCPA.

9. HIPAA note

Sahar Dental Studio is a covered entity under HIPAA. We maintain a Notice of Privacy Practices (NPP) separately, provided to patients at the time of treatment. This web privacy notice covers the portal only. For the full NPP, contact us directly.
